OFFICE PROFILE:
The Shanghai Office of Concordia University, led by Dr. Eugene P. Kim (Dean of Asia Programs), supports the functions of the Masters In International Studies program in China as well as the work of the faculty and staff who lead Concordia’s presence in China.
ROLE: The Office Manager will organize and supervise all of the administrative activities that facilitate the smooth running of the CUI-Shanghai Office.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
Serve as the administrative assistant to the Dean of Asia Programs,
execution of projects, research and assignments assigned by the Dean
support services to Concordia University faculty, staff and students;
maintenance, inventory and ordering of office supplies, materials and equipment;
management of files and records;
supervision of repairs and upkeep;
shipping and handling.
preparation of reports, agendas, letters and minutes;
translation and transcription of documents, communications and materials.
recruitment, training, delegation of work, and management of office interns;
scheduling of appointments, meetings and advising sessions;
marketing and recruitment of Concordia University students.
Manage day-to-day office operations to ensure that the office is well-organized, presentable and functions smoothly:
Coordinate internal and external communications – email, telephone, fax, etc.
hospitality and assistance to visitors and guests;
assistance to callers, redirection of calls, and response to enquiries and complaints;
Handle and maintain accurate records for office finances and accounting
collection and organization of all financial records such as receipts and bills
accounts payable/receivable, online payments, vendor relations;
coordination with accountancy, tax bureau, banks and other financial institutions;
research, organization and reporting of business information and data
Other duties that support the smooth operation of the office and work of the Dean of Asia Programs that may be assigned from time to time.
EDUCATION AND/OR EXPERIENCE:
Bachelor’s Degree (BenKe); one to two years related experience and/or training preferred
QUALIFICATION REQUIREMENTS:
Knowledge & Skills
Proficiency in using Office Software such as Word, Excel, and Powerpoint
Language Fluency – able to read, write, speak and listen in both Chinese and English
Translation/Interpretation – able to translate/interpret Chinese to English (and vice versa)
Multi-tasking & Organizational Skills – able to prioritize, clarify and carry out multiple assignments simultaneously without continuous supervision
